Club Opening District Matching Grant Application 2021-22

IMPORTANT: Districts not in good standing with Kiwanis International may apply and will be considered for a district matching grant; however, approval of the grant will be pending the district return to good standing status. No funds from district matching grants will be released until a district is in good standing.

  • Grants will be reviewed on a monthly basis.
  • The grant committee will review all grant applications received by the first of each month (i.e., Oct. 1, Nov. 1, Dec. 1, etc.).
  • All grant applications must be submitted to Kiwanis International within at least one month prior to the club opening/strengthening event.
  • Applications not submitted by the first of each month will not be considered until the following month.
  • Notification of approved grants will be made by the end of the month.
  • The grant committee also may approve grants that are contingent on additional conditions being met prior to the club opening event.

By submitting this application, you serve as the primary contact and are responsible for contacting the Membership Department with questions and providing additional information as needed. Typically, applications are submitted by the district membership coordinator working in conjunction with the governor.

Guidelines for club opening and strengthening events:

  1. Kiwanis International encourages clubs to apply for matching grants as they initiate planning to:
    • open two clubs in nearby communities;
    • open one new club and conduct a membership boost for the sponsoring club or another one in the area; or,
    • boost two clubs within a reasonable geographical distance.
  2. Participating Kiwanians must participate in club opening training for new sites and if a strengthening event is planned, the club must have completed at least one of the first three Achieving Club Excellence (ACE) Tools.
  3. Minimum participation requirement of two teams of two club openers per site. (excludes club opening experts and staff)
  4. Each new club site must have a minimum of one active, committed sponsoring Kiwanis club.
  5. Each new club site must have a minimum of one active, committed certified club coach and each strengthening site must have at least one certified club coach. We strongly encourage two certified club coaches per site and that they be active participants in the club opening and strengthening events.
  6. Participants who are committed to increasing membership in their own home club.
  7. All new sites must have completed a site survey. A sample survey is located at the link below. (Form must be downloaded to complete electronically.)

  8. A minimum of 8-10 appointments should be scheduled with key community members for each new club location: school and governmental officials, business and civic leaders prior to submitting this application. If your club opening event is more than one month after the application deadline, you may submit a contact list of prospective members you will be calling to schedule appointments (150-200 names on a source list generally net enough appointments for the event).

Guidelines for club strengthening efforts: 

  1. At least one of the first three ACE tools completed.
  2. At least two club member on strengthening team.
  3. Certified club coach identified and participating with strengthening team.
  4. Club must identify a membership growth goal (number of new members or % of growth or bring club to charter strength).
  5. Membership goal should be attainable but impactful for greater service in the community.

ALL new club sites and club strengthening sites will be completed (i.e., all required paperwork and monies are submitted to Kiwanis as shown on the club opening scorecard) within 30 days. No additional grants will be considered for a district until prior club opening sites/club strengthening sites are 100% complete.

IMPORTANT: It is strongly recommended for future development of new clubs within your district that you invite sponsoring club presidents, membership chairs, certified club coaches and division lieutenant governors/trustees to participate in the club opening event.

The COVID-19 pandemic’s effect on organizational revenue may curtail the available funds for the matching grant program. Grants are approved by a volunteer committee on the basis of club opening logistics and operations and approved by the chief financial officer for funding based on the overall organizational budget.

BUDGET

What Kiwanis International pays for:

  • Lodging for any staff who are asked to participate (club opening specialist or area directors).
  • Lodging for all volunteer opening team selected by Kiwanis.
  • Meals for all staff and volunteer opening team.
  • All organizational meetings paid for by Kiwanis and the district $125 KI/$125 District. Club opening specialists or Kiwanis staff members may pay for everything using corporate card and the district will be billed for its portion. The district leadership also may pay the costs and send a copy of the invoice to Gloria Bidgood for reimbursement.
  • Fifty percent of chamber dues.

District pays for:

  • Everything else is to be covered and arranged by the district.

IMPORTANT: If the grant is approved, Kiwanis International will distribute the first 50% of the grant amount at the time of approval. The final 50% of the grant will be awarded after the measurable objectives are reached (i.e., clubs opened) and a final budget with total costs and receipts are submitted to Kiwanis International via email within 30 days after the conclusion of the event. All September 2022 events must submit reimbursement prior to September 30. 
If the final spreadsheet of expenses with receipts is not received by September 30 of the administrative year of the club opening/strengthening event, grant funds will be forfeited. 


IN-KIND DONATIONS

If applicable: Describe in-kind or donated contributions obtained.

In-kind refers to contributions of services or goods having a monetary value. Examples include donated printing/copying, food, lodging or meeting space. The value of such contributions should be included toward the minimum district commitment of 50% of the total project cost.
